Terms and Conditions — Sufaraa Al Watan (National Ambassadors) Competition

1. Introduction and acceptance

These Terms and Conditions (the "Terms") govern participation in the Sufaraa Al Watan (National Ambassadors) youth competition (the "Competition"), organized by Saudi Friendship Organization, commercial registration number [CR NUMBER], of [ADDRESS] (the "Organizer", "we", "us"), and access to the Competition's registration and submission platform at ksaambassadors.com (the "Platform").

By registering, creating an account, joining a team, or submitting any material, you confirm that you have read, understood, and agree to be bound by these Terms, the Privacy Policy, and any published Competition guidelines. If you do not agree, do not use the Platform.

2. Definitions

Terms used here follow the Competition glossary:

• Team — a group of three (3) to five (5) Members competing together under one

Academic Tier.

• Team Leader — the single Member who holds a Platform account and registers and

manages the Team on behalf of its Members.

• Member — an individual participant in a Team. Members other than the Team Leader

participate without their own account, by joining through an invitation link.

• Academic Tier / Competition Class — High School or University. The two Classes are

judged, ranked, and awarded entirely separately.

• Deliverable Track — the participant-facing category of work a Team produces, as

defined in the Competition guidelines.

• Intro Video — the introductory video a Team provides by link.
• Recommendation Letter — the school or institution letter a Member uploads as proof

of eligibility.

• Admin — Organizer staff who review registrations and make acceptance decisions.
• Judge — a person appointed by the Organizer to score submissions.

3. Eligibility

To participate, each Member must:

1. Be between fifteen (15) and twenty-five (25) years of age (inclusive) as verified from the date of birth provided; 2. Be a student affiliated with an eligible school or institution in the Eastern Province of the Kingdom of Saudi Arabia, evidenced by a valid Recommendation Letter; 3. Belong to exactly one Team, and to one Academic Tier shared by the whole Team; 4. For University-tier Members, hold and verify a valid institutional email address ending in `.edu.sa`; 5. Provide a mobile phone number (Saudi mobile) as their identity key. No government-issued identification number is collected (see section 7).

The Organizer may set additional eligibility criteria in the Competition guidelines. Members who no longer meet the eligibility criteria may be removed or disqualified.

4. Accounts and registration

• Only the Team Leader creates an account, using an email address and password. The Team

Leader is responsible for keeping their credentials secure and for all activity under their account.

• Other Members join their Team through a personal invitation link sent by the Team Leader.

Members joining this way do not create an account and access their own participation only through the invitation and re-entry mechanisms provided.

• You must provide accurate, current, and complete information. Providing false, misleading,

or another person's information is grounds for disqualification.

• The Team Leader confirms that they are authorized by each Member (and, for Members under

18, by that Member's parent or legal guardian) to register that Member and to provide the Member's information to the Organizer.

5. Teams and roles

• A Team must have at least three (3) and at most five (5) Members, including the Team

Leader, all in the same Academic Tier.

• The Team Leader manages the Team's registration, invitations, uploads, and submission.
• The Team Leader may change the Team's composition only while it is in draft. After

submission, the Organizer may correct the roster (remove a Member or issue a replacement invitation) to resolve eligibility issues.

6. Submissions and deadlines

• Registration closes on 23 October 2026 at 23:59 Riyadh time. After that, no new

registrations, invitations, joins, or submissions for review are accepted.

• A Team's registration is complete only when all required information, verifications, only when all required information, verifications,

uploads, and the Intro Video have been provided and the Team Leader submits it for review.

• The Intro Video must be accessible to the Organizer and Judges for review and must not be

set to private. You are responsible for keeping it available for the duration of the Competition.

• The submission deadline is 7 March 2027. After the deadline a

permanent lock applies: participants can no longer create, edit, or submit registrations or materials. This lock is final.

• The Organizer is not responsible for submissions that are incomplete, inaccessible,

corrupted, or not received by the deadline for any reason, including technical issues on the participant's side.

7. Identity and eligibility verification

• The Platform collects no government-issued identification number from any participant.

The identity key is the mobile phone number. A number registered on more than one team is reviewed by the Organizer during screening and may lead to removal. University-tier Members prove their enrollment with a one-time code sent to their .edu.sa address.

• Date of birth is self-declared by the participant and used to determine age eligibility

and whether parental consent is required.

• Eligibility to the Eastern Province is established by the uploaded Recommendation Letter.
• The Organizer may request further evidence and may reject or disqualify any Member or Team

where information cannot be reasonably relied upon.

8. Participants under 18 (parental consent)

• Where a Member is under eighteen (18) years of age, the participation of that Member

requires the verifiable consent of a parent or legal guardian.

• By registering a Member who is under 18, the Team Leader confirms that such consent has

been obtained. The Organizer may require the parent or guardian to provide consent directly, in a form specified by the Organizer, and may withhold or revoke a Member's participation until valid consent is recorded.

• Parents and legal guardians may exercise the rights described in the Privacy Policy on

behalf of a minor.

9. Voluntary work certificates

After acceptance, the Team Leader uploads each Member's voluntary-work certificate (including their own). The Organizer may verify the certificates manually and may take them into account as described in the Competition guidelines. A missing certificate does not affect a Team's acceptance.

10. Intellectual property and content licence

• Members retain ownership of the original work they create and submit ("Submissions").
• By submitting, each Member (and, for minors, their parent or guardian) grants the Organizer

a non-exclusive, royalty-free, worldwide licence to use, reproduce, display, publish, and adapt the Submission and the Team's name and likeness for the purposes of operating, judging, promoting, and reporting on the Competition, including on the Organizer's channels and in connection with sponsors, for [DURATION / "the duration of the Competition and its promotion"].

• You warrant that your Submission is your own work, does not infringe the rights of any third

party, and that you have obtained all necessary permissions (including from any person appearing in a video or image).

• If your Submission uses artificial intelligence tools, you must disclose this where the

Platform or guidelines ask you to, and in the manner requested.

11. Acceptable use and code of conduct

You agree not to:

• provide false, misleading, or fraudulent information, or impersonate another person;
• submit content that is unlawful under the laws of the Kingdom of Saudi Arabia, that is

offensive, defamatory, or that violates public order, religious values, or the rights of others;

• upload malware, attempt to gain unauthorized access to the Platform, disrupt it, or

circumvent its security or verification controls;

• misuse invitation links or attempt to register in more than one Team.

Breach of this section may result in immediate disqualification and, where appropriate, referral to the competent authorities.

12. Judging, results, penalties, and awards

• Submissions are assessed by Judges against the published criteria. Each Academic Tier is

judged and ranked separately; results are not compared across Classes.

• The Organizer may apply penalties for breaches of the rules as described in the guidelines.
• Acceptance into the Competition is subject to available capacity and to the Organizer's

review. The Organizer may accept or reject a registration, and may correct a decision made in error, in each case at its discretion.

• Awards, prizes, and their conditions are as described in the Competition guidelines. The

Organizer may substitute a prize of equivalent value. Any taxes, fees, or charges arising from a prize are the responsibility of the recipient unless stated otherwise.

• Decisions of the Judges and the Organizer on all matters relating to results are final,

save for manifest error.

13. Personal data and privacy

• The Organizer processes personal data in accordance with the Personal Data Protection Law

of the Kingdom of Saudi Arabia (PDPL) and its Implementing Regulations, and as described in the Privacy Policy at ksaambassadors.com/privacy, which forms part of these Terms.

• The categories of data collected include, without limitation: name, date of birth, mobile

phone number (the identity key), contact and institutional email, school/institution information, Recommendation Letters, video links, and, where provided, voluntary-work certificates.

• Personal data is hosted with service providers (Railway and Cloudflare R2) whose

infrastructure is located outside the Kingdom of Saudi Arabia; transfers outside the Kingdom are part of normal operation and will comply with the PDPL. Any processing by service providers is subject to appropriate agreements.

• Data subjects (and the parents/guardians of minors) have the rights set out in the PDPL and

the Privacy Policy, including rights of access and correction. Requests may be made to [DATA CONTACT / DPO EMAIL].

14. Analytics, cookies, and marketing

The Platform uses cookies and similar technologies for analytics and marketing. Non-essential cookies and tracking are disabled by default and are only enabled after you give consent through the consent banner. You can decline, and you may change your choice as described in the Privacy Policy.

15. Disqualification and suspension

The Organizer may, at its discretion, suspend or disqualify any Member or Team, withhold or reclaim any award, or restrict access to the Platform, where it reasonably believes these Terms or the guidelines have been breached, or where required by law.

16. Changes to the Competition and to these Terms

The Organizer may amend the Competition guidelines, timelines, or these Terms where reasonably necessary, including for legal or operational reasons. Material changes will be notified through the Platform or by email. Continued participation after a change constitutes acceptance of the updated Terms.

17. Disclaimers and limitation of liability

• The Platform is provided on an "as is" and "as available" basis. The Organizer does not

warrant that it will be uninterrupted or error-free.

• To the fullest extent permitted by the laws of the Kingdom of Saudi Arabia, the Organizer is

not liable for indirect or consequential loss, or for loss arising from matters outside its reasonable control, including participant-side technical failures and third-party video or hosting services.

• Nothing in these Terms excludes any liability that cannot be excluded under applicable law.

18. Governing law, language, and disputes

• These Terms are governed by the laws and regulations of the Kingdom of Saudi Arabia.
• These Terms are published in Arabic and English. In the event of any conflict or

inconsistency between the two versions, the Arabic version prevails.

• Any dispute arising out of or in connection with these Terms or the Competition shall be

subject to the jurisdiction of the competent courts of the Kingdom of Saudi Arabia in the Eastern Province.
